Job Packs
In this role you will be required to ensure all required information is available and included in work packs prior to issue to the field teams. Tasks include downloading job packs from Depotnet and ensuring all information present, stores allocations/issue, uploading completion photos from WhatsApp group into Depotnet. This is an integral part of the role to ensure all field teams can work safely and compliantly with all issued works, escalation to the Project Management team is required for any work packs that are not complete for issue or don’t have the required completion information from field teams.

Requesting stats and safe digs/Documents
Once a job has been surveyed and cost approval received it then falls under your role and responsibility to make sure that all relevant stats and safe digs are requested and received for the works to take place. Once confirmation of stats and safe digs have been received these will are to be uploaded to the relevant job pack making them readily available to crews carrying out the works. It is also part of your responsibility to make sure that stats and safe digs are in date when the works are permitted to commence and if not they will need to be applied for again prior to release of pack. All documents associated to the works must be filed in a controlled manner.

Updating whereabouts information
As project Coordinator it is your responsibility to obtain and report whereabouts information for all crew disciplines (Build/Civils) in the field daily to ensure client expectations are met. This information is critical to ensure full visibility of our field teams ensuring they are on the park and working in the right place. Any potential lone working risks should also be escalated to the project management team in a timely manner.

Tracker administration
In this role you are also required to make sure any information that has been obtained is updated on the works tracker. This includes permit start/stop dates, Safe digs and any other information that is obtained by yourself to be filled in clearly and concisely against the relevant job pack. You may be requested by the Project Manager or Works Supervisor to add additional information to jobs e.g. updated Synthetics.

Communication with the delivery team and reporting
It is essential that a high standard of communication is present amongst the delivery team. This includes reporting daily to the delivery team highlighting any issues identified with resourcing of activities and that expected works durations are being upheld. Certain works will require permits to be started, stopped and registrations uploaded. You will need to make sure this information is handed back to the Streetworks team within 2 hours of the works being started or completed. If this is not followed this may result in FPN’s which may be charged to the crews.
